Arts & Crafts Productions has an immediate opening for a Production Coordinator in our Toronto office. The production coordinator for physical and digital releases at Arts & Crafts is the main point of contact for manufacturing and production of physical product as well as the ingestion and maintenance of digital product. This role includes the following: forecasting and managing inventory; establishing product set-up with distributors locally, nationally and internationally; upholding a high level of customer service as well as maintaining strong relationships with graphic designers, production teams, and distributors. This role is a vital part of the label team, and requires a great deal of efficiency, attention to detail, and organization. Their job is to make sure release dates are met and product remains available to consumers everywhere by way of detailed and precise planning. This role reports to the Label Marketing heads. The job requires interaction primarily with the label team internally, and over a dozen external stakeholders in the distribution, production, design and marketing sectors.

Job Duties & Responsibilities:

Physical Product Production / Manufacturing
  • Communicate regularly with product and inventory contacts in order to manage the precise timelines required for goods to reach market on or before release dates
  • Provide quotes for physical product orders and reorders to label management when product is being produced and once approved, place all new orders with the manufacturers
  • Partner with layout creatives and graphic designers in order to find the correct templates for specific physical product packaging needs
  • Organize product stock for touring musicians by mapping an artist's routing, calculating estimates of their off-stage merchandise needs, communicating regularly with band members and/or tour managers, and planning the shipments of goods
  • Maintain a close relationship with 10+ manufacturing and production companies involved in the creation of physical audio product, marketing materials, and promotional assets used in a release campaign
  • Coordinating with international partners / licenses, sharing physical product assets so they can manufacture local versions in their territory
  • Create sell sheets for our distribution teams in order to properly solicit albums to physical retail points-of-sale
  • Calculate retail and wholesale pricing for physical stock by way of estimating the costs of goods manufactured. Additionally, working closely with in-house team to recommend pricing for tour stock / indie retailers / A&C craft shop
  • Generate digital-download codes to be included with vinyl LP products, organize the production of the physical cards, and orchestrate their inclusion in the LP packaging
  • Design and organize the production of promo materials such as promotional CDs for radio, in order to provide stake holders with marketing tools

Inventory Management & Reporting
  • Monitor and maintain physical stock levels at distributors by analyzing stock and sales reports and timing re-orders and re-manufacturing runs to meet stock demands and ensure availability of goods consistent with consumer demand
  • Organize physical stock with international distributors in order to make products available in foreign markets
  • Generate inventory reports for the label team that include manufacturing suggestions in order to alert the team to any major shifts in stock availability
  • Provide shipping instructions to manufacturers, distributors and in-house team. Monitor, collect and share shipping POs and tracking information so that products are received timely

Digital Product Ingestion
  • Manage metadata for all releases which is used by internal and external team members to organize and identify audio products, track sales information, and accurately report financials to artists, publishers, labels and funding organizations
  • Upload digital audio and video product manually to 5+ distribution platforms worldwide, in order to make digital product available for consumer consumption on sales and streaming platforms
  • Refer to internal territory rights documents when setting up digital products in order to create territory overrides where necessary (certain releases may have different territory rights at different stores)
  • Share assets for new digital releases with in-house team, in order that they can be uploaded and live on the Arts & Crafts website ready for release date

Job Specifications:
  • Minimum 3 years of experience in production, music industry or other
  • Proficiency in Microsoft Office Suite, specifically Excel and Word
  • Proficiency in Adobe Illustrator, Photoshop, InDesign, and other design software
  • Exceptional problem solving, logistic and math skills
  • Exceptional attention to detail
  • Ability to maintain extremely tight timelines with great efficiency
  • Excellent time management and organizational skills
  • Excellent communication skills, both written and verbal
  • Adaptable working style and approachable demeanor
  • Ability to communicate clearly and effectively to multiple teams at once
  • Knowledge of music industry trends and standards
  • High competency in digital platforms and online ingestion an asset
  • Specialization in graphic design is an asset
